Implementing A Quality Management System

Having assisted many companies to achieve ISO9001 registration our experience has taught us two significant facts:-

1. If you wish to put a quality management system in place solely for the purpose getting registration to an ISO9001 standard it’s more than likely not going to be a good system.

2. If you wish to put a management system in place with a view to using it as an effective tool for being in control of, and managing, your business effectively then it’s likely to be a very effective system.

We like, therefore, to help companies who want to implement procedurised methods for having their daily business conducted in the way that THEY want it. As a general rule when we take this approach one needs very little variation to additionally register the company to the  ISO9001 standard particularly as the registration bodies these days are taking a much more practical view of ISO requirements.

The real facts of life are that companies exist to make a profit by meeting their commitments to their customers. Having an ISO90001 logo on your letterhead is not much use if the systems you operate don't assist you to meet your customers needs at a PROFIT.

OUR APPROACH TO A TYPICAL PROJECT

On the initial visit we will look at your existing systems and to discuss broadly where you would like to go. If you wish to progress we will generate a timeline plan with key target dates identified. Following this we will:-

1. Visit you on a weekly or fortnightly basis to monitor your progress, advise and work with you on your systems and documentation.

2. Train your project leader and relevant staff.

3. Write your documentation in consultation with your staff and we will use a combination of simple and effective flowcharts, checklists and bullet point lists.

4. Should you take the paperless approach we will implement electronic documentation systems, such as Intranets, databases and spreadsheets. We will also train your staff on the ongoing maintenance of these systems.

5. Between consultancy visits we can assist by reviewing procedures and giving advice by telephone, fax, email or dial-in.

6. Monthly Project Reports to keep management informed of the progress of the project and where the problems and opportunities lie.

7. Train and advise your staff on being audited

8. Should you wish to register your system to the ISO9001:2000 we will assist with the application and hold a full pre-assessment audit prior to your main audit.

9. We can provide online support via email, remote access or via our website

Management of your Internal audit program.

We will schedule and perform your internal quality audits and change the cut and thrust of the audits to ensure that your quality systems continue to remain effective and compliant with ISO9001 requirements.

Pre-assessment Audits

Prior to your main assessment we will perform an independent audit on your quality system after which  you will know where the weaknesses are in your system and once they are fixed you can go with confidence into the main audit. Even if you are working with a different consultant this is a good idea - a bit like the "mock - leaving cert".

Contract Quality Management

If you can’t justify the resource of a full-time quality manager or co-ordinator and feel that you would benefit from the independence of a non-staff incumbent then why not consider outsourcing your quality management workload to us. We will provide a package to suit your needs be it one day per week or one day per month. For many small companies this is an ideal option and your part time Quality Manager will be able to maintain a fresh view of your systems at all times.

Electronic Documentation

These days it's hard to beat an Intranet (internal internet) for accessing your documents. However there is often a need for document scanning and management systems like DMS below or systems like Paradigm or Lotus Notes which take a holistic approach to managing your documentation - typically to meet ISO9000 requirements. DMS-DOCUMENT MANAGEMENT SYSTEM.

This is a full blown paperless office system whereby all your incoming, outgoing and internal documents are available to all relevant staff on their PC screens.
